Breaks

At a minimum, you’ll need to plan for breaks for Friday afternoon and Saturday morning. If you are planning pre-conference workshop, you should also plan for a break on Friday morning.
In the past, we had several people request that coffee be available both before (particularly Saturday morning) and during the sessions. It might be good to have that available for them to help themselves. For the breaks, you should provide more than one choice of drinks and a couple kinds of cookies, etc. Fruit is a nice option. But remember, this is not a meal.
Holding breaks in the area where vendors are exhibiting will increase traffic for the vendors. Mention this setup to prospective vendors as it is a good selling point.

Suggested starting date: 180 days before the conference.

We provided breakfast type items for the Saturday morning break in case any of the attendees were unable to have breakfast at the hotels. (Furman/2011)

We planned for about 1/2 of the attendees to consume snacks. This is because catering usually over estimates portion sizes and not everyone will eat the snacks. We gave catering a number that was half of our expected attendees so we did not have a lot of wasted food. (Furman/2013)

I would recommend that the break refreshments be provided in a central location where most people would gather. - (KK 2014)
